TEMPLATE FOR GRAINGENES REFERENCE RECORDS
From Susan Altenbach
4/7/94
The fields to be used for the entry of GrainGenes reference records
are described below. Not all fields will be used for all references.
Specific examples of common types of references are also provided.
FIELD SAMPLE ENTRY COMMENTS
Reference : "GRC-42-219" Instructions for assigning reference
IDs can be found in "Constructing
Reference IDs" file on the GrainGenes
Gopher.
Agricola_code "IND84059170" Some references can be found in the the
Agricola database of the National
Agricultural Library. Include the
accession number from Agricola if
available.
Author "Ainsworth CC" Enter last name of author followed by a
space and the first and middle initials.
Create a separate field for each author.
Title "The genetic Enter complete title of article, book,
control of proceedings, bulletin or other reference.
hexokinase
isozymes in
wheat."
Journal "Genome" Enter complete name of journal or other
source.
Series "IAEA Technical Use this field in cases where a reference
Document" is a volume in a series. For GrainGenes,
a 'volume in a series' is defined as a
document that has both a title of its own
and a volume number. See below for further
explanation of the difference between series,
journals, and books.
Volume 35 In most cases the volume number will be an
integer. In those cases where the
reference contains an alpha-numeric volume
number, the additional information can be
supplied in parentheses following the
integer. (ie. the volume number AF-124
should be entered in Graingenes as
124 "(AF-124)".
Page 765 771 For articles, enter first page number
followed by a space and the last page
number. Only integers can be entered in
this field. In cases where an entire book
or report is cited, do not enter page numbers.
Year 1992
Type "Article" Enter "Article", "Book", "Proceedings",
"Abstract", "Dissertation", "Bulletin",
or "Report" as appropriate. If the reference
does not fit in one of these categories,
consult the GrainGenes curators for guidance
or leave this field blank.
Editor "Tanksley SD" Use this field for book and proceeding
entries. Enter last name of editor
followed by a space and the first and
middle initials. Create a separate
field for each editor.
Publisher "Paul Parey, Enter the name and location of publisher
Berlin" for books and proceedings. This field
may also be used to enter the name of a
University that published a dissertation.
Contained_in "XIB-83" In cases where an article is part of a
proceeding or book, this field is used to
enter the reference ID of the proceeding
or book in which the article appears.
Refer to "Constructing Reference IDs
on Graingenes Gopher for information about
assigning IDs. Also see specific examples
that follow.
Cited_in "WGC-93" Enter the reference ID of the document
that cites the reference.
Summary_of "SUT-53-51" Use this field in cases where the citation
is a summary or abstract of another
article or document to refer the
Graingenes user to the reference ID of the
original article or document. See
specific example of "citation of citation"
references that follow.
Summarized_in "PBA-14-42" Use this field to indicate the reference
ID of a summary or abstract of an original
article or document . See specific
example of "citation of citation"
references that follow.
Abstract "A restriction If available, enter the complete abstract
fragment..." as it appears in the publication.
Keyword "mapping" Use this field for indexing keywords
obtained from Agricola database or
indicated on the publication. Use a
separate field for each keyword.
Remark "Chapter 20, Use this field for important supplemental
pages 20-1 to information that can't be entered
20-22" appropriately in any other field (ie.
"Chapter 20, pages 20-1 to 20-22" could not
be entered in the 'Page' field since this
field accepts only integers.)
NOTES ABOUT SYNTAX:
1) In the first field, Reference must be followed by a space, a colon, a
space and the reference ID as in the following example :
Reference : "GRC-42-219"
2) If the value of a field does not contain any blank spaces, the
quotes are optional. For example, all of the entries shown below for
the Journal field are acceptable:
Journal Genome
Journal "Genome"
Journal "Theoretical and Applied Genetics"
3) Do not surround numeric values with quotes.
4) Do not include special characters such as alpha and beta in
entries.
5) Fields that have no data may either be deleted or left blank.

Abstract "A restriction fragment length polymorphism (RFLP) map for
the A genome of Avena has been developed using F3 families from the
cross A. atlantica x A. hirtula. The main source of markers were an
oat cDNA and a barley cDNA library. A total of 194 RFLP markers was
used, 192 of which were mapped or assigned to linkage groups. Seven
main linkage groups, presumably correspoinding to the seven
chromosomes of the haploid genome, were identified. The linkage
groups varied in size from 30 to 118 cM for a total map length of 614
cM. This map provides a tool for the interpretation of genome
organization in Avena and for marker selection in the development of a
map of hexaploid oats."

ARTICLES IN BOOKS:
These types of references must be divided into two Reference Records for
entry into GrainGenes; the first record describes the article and the
second record describes the book. Note that many commonly referred-to
books will already be in GrainGenes. In these cases, don't create the
second record, just make sure that the reference ID that you use for
the book is correct.

ARTICLES IN PROCEEDINGS:
These types of references must be divided into two Reference Records for
entry into GrainGenes; the first record describes the article and the
second record describes the proceedings. Note that many commonly
referred-to proceedings will already be in GrainGenes. In these
cases, don't create the second record, just make sure that the

VOLUME OF A SERIES:
Example #7: Cox TS and Shroyer JP, 1984, Pedigrees of hard red winter
wheat, Kansas Cooperative Extension Service Bulletin No. AF-124.
Note: Why do we treat this as a volume of a series, instead of a book or a
volume of a journal? Because it has both a title of its own, "Pedigrees of
hard red winter wheat", and a number, AF-124. Journal volumes don't have
titles of their own, and books don't have volume numbers corresponding to
different publication dates.

ARTICLE IN A VOLUME OF A SERIES:
Example #8: Giorgi B, Barbera F, Bitti O & Cavicchioni G 1984 Field
performance of F3 progenies from a durum wheat involving two different
semidwarfing genes: Rht1 and Sd mutation. IAEA Tecdoc: Semi-dwarf Cereal
Mutants and Their Use in Cross-breeding II 307: 91-95.
Note: Why do we treat this as an article in a volume of series, instead of
an article in a book or in a journal? Because the volume has both a title
of its own, "Semi-dwarf Cereal Mutants and Their Use in Cross-breeding II",
and a number, 307. Journal volumes don't have titles of their own, and
books don't have volume numbers corresponding to different publication
dates.

CITATIONS OF CITATIONS:
In some cases a reference will be an abstract or summary of an
original article or document that appears elsewhere. These types of
references must be divided into two Reference Records for entry into
GrainGenes; the first record describes the abstract and the second
record describes the original article or document.
Example #9: Ackerman A, 1943, (Experiments to increase the yield from
spring wheat, I. Crosses with Brunt Schlanstedter [Brown
Schlanstedter] spring wheat with a description of Svalofs Progress
spring wheat.), Sveriges Utsadesforenings Tidskrift 53: 51-66. Cited

If a large number of references will need to be entered into
GrainGenes, it is sometimes easier to use spreadsheet or database
programs to keep track of the references. Data in this format can be
converted relatively easily to a form that can be entered into
GrainGenes. Please note that the first field must contain the
reference ID.
Happy Databasing!
